DOHS is the data controller (‘data controller’ having the meaning set out in the UK General Data Protection Regulation (Retained Regulation (EU) 2016/679) in respect of any Personal Data you may provide to us or any Personal Data provided to us by a third party in the course of our business operations.

We confirm that any Personal Data we hold on your behalf will be held in accordance with the registration we have with the Information Commissioners Office.

We may collect Personal Data about you in the following circumstances.

When you submit a Contact Form on our Website:

You may submit the following information via the contact form on the Website:

  • name;
  • email address;
  • telephone number; and
  • any personal data contained within your enquiry message.

Any such email will be sent directly to DOHS and no details will be retained on the Website.

We process this information for the following purposes:

  • to respond to your request and to give you information about our services;
  • to ensure that the content from our Website is presented in the most effective manner for you and your computer; and
  • any relevant troubleshooting, testing or statistical analysis as appropriate.

When you visit our Website:

We gather non-personal data regarding site visitors to our Website. This is provided to use statistical information on visits to pages, type of browsers being used to view the site, paths taken through the site and other general information. Under no circumstances can this be linked to a particular person.

We may collect technical information about you when you visit the Website. This information may include the Internet protocol (IP) address used to connect  your computer to the Internet, your browser type and version, time zone setting, operating system and platform, browser plug-in types and version, the full URL clickstream to, through and from the Website, page response times, download errors, length of visits to certain pages, page interaction (such as scrolling, clicks and mouse-overs) and methods used to browse away from the page. Information about your visit(s) to the Website may also be collected. We also collect, use and share aggregated data such as statistical or demographic data which is not Personal Data as it does not directly (or indirectly) reveal your identity. You may provide information directly to DOHS through social media accounts, by sending DOHS memory cards, from business cards, texts and letters and from third party introducers.

In addition, any supplementary information that you volunteer in your initial contact or when you communicate with us directly in person or via another form of communication for customer service or other purposes (e.g. by emails, phone calls, social media posts etc.), may be recorded by us, as well as any responses that we provide to you.

We shall only use such information:

  • to give you information about our services that you may request from time to time; and
  • to provide / receive services.

When you have expressed an interest in receiving marketing communications from DOHS:

If you have opted in via our Website or other forms to receive marketing communications from us, we will handle your Personal Data for example (your name, email address and postal address and telephone number) to provide you with marketing communications and newsletters in accordance with any preferences you have told us about.

When we send you marketing emails you have requested, we rely on your consent to contact you for marketing purposes.

Every email we send to you for marketing purposes will also contain instructions on how to unsubscribe from receiving them.

You are not under any obligation to provide us with your Personal Data for marketing purposes.

You can tell us that you do not want your Personal Data to be processed in this way at any time by contacting us at info@dohs.co.uk, or where relevant, by following the unsubscribe link shown in every marketing communication you receive from us. We will retain your data for as long as we have your consent and delete your Personal Data used for marketing purposes, as soon as you withdraw your consent or unsubscribe from our newsletters and marketing information.

When we engage you as a consultant or a contractor that provides services to clients through DOHS:

We will need to collect the following information about you if you are a consultant or a contractor:

  • name;
  • email address;
  • telephone number;
  • job title;
  • gender;
  • nationality;
  • date of birth;
  • address;
  • marital status;
  • blood type;
  • health status and information;
  • next of kin;
  • GP name/surgery; and
  • passport details.

We process this information for the following purposes:

  • to provide / receive services;
  • internal record keeping;
  • to carry out any obligations owed to you in respect of any contracts entered into between you and us;
  • validating CVs and offshore related certificates against your eligibility for a role;
  • to give you information that you request from us and to improve our services; and
  • to notify you about changes to our services.

When you engage us as a client of DOHS:

We may process the following information about your staff and representatives:

  • name;
  • email address;
  • telephone number;
  • job title.

We will also capture a range of corporate information, such as your company details and address.

We process this information for the following purposes:

  • to provide services to you;
  • internal record keeping;
  • to carry out any obligations owed to you in respect of any contracts entered into between you and us;
  • for billing and contract administration purposes;
  • to give you information that you request from us and to improve our services; and
  • to notify you about changes to our services.

Use of Personal Data

We process Personal Data the following purposes detailed in the above sections.

We never sell Personal Data collected or use your Personal Data for any other purposes than those stated above.

Where we request consent for collection of information, we will always ensure you are notified of your rights in relation to this information (please see the ‘Personal Data and your rights’ section below).

Sharing your Personal Data with Clients

To enable us to perform the contract to which DOHS has been engaged, we will need to share your personal information with the relevant client.

If the contracting client is based outside of the UK and/or European Economic Area (“EEA”) and the country that they are based in is not covered by the UK adequacy regulations, we will ensure that an adequate transfer mechanism is put in place to safeguard your Personal Data.

Data sharing with third parties will always be conducted under a written agreement, and transfers to third countries will be subject to an international data transfer mechanism (which will typically be the UK International Data Transfer Agreement.

Sharing your Personal Data with Third Parties

We may, where we have obtained your express permission, also use the information collected to:

  • provide you with information about our services that we offer via promotional emails;
  • keep you up to date with features on the Website; and
  • permit selected third parties to provide you with information about goods or services they feel may interest you (a list of such third parties are available on request),

however, you can opt-out of any of these data uses at any time by emailing info@dohs.co.uk. We will only keep your information for as long as reasonably required for the purpose that it was collected for.

We may use carefully selected sub-processors to help us collect, store or manage your information.

We may disclose your Personal Data to a statutory body when we are under a legal obligation to do so.

Security

DOHS takes the processing of your information very seriously and will use your information only in accordance with the terms of this Privacy Notice. We shall take all reasonable steps to protect your Personal Data from accidental or unauthorised access, alteration, loss, destruction or disclosure.

All Personal Data collected by us and stored electronically is held on secure servers in the UK and the EEA only. Where required, this information is encrypted for additional security. We use computer safeguards such as firewalls and data encryption, we enforce physical access controls to our buildings and files, and we authorise access to Personal Data only for those employees who require it to fulfil their job responsibilities. We will notify you and any applicable regulator of any Personal Data breach to the extent required by law.

However, you should be aware that providing information over the Internet can never be guaranteed as being completely safe and if you choose to send such information to us via the Internet, you do so at your own risk.

Retention

We will only retain your Personal Data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your Personal

Data for a longer period in the event of a compliant or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

To determine the appropriate retention period for Personal Data, we consider the amount, nature and sensitivity of the Personal Data, the potential risk of harm of unauthorised use of disclosure of your Personal Data, the purposes for which we process your Personal Data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

Personal Data and your rights

You have rights in relation to any Personal Data that we hold about you. If you wish to access your Personal Data you may make a formal subject access request by contacting DOHS.

The information you request must relate to you or another person that you have authority to act on their behalf. DOHS will require a confirmation of your ID prior to providing any information about the data we hold. If you are unable to provide sufficient information to prove your ID, DOHS reserves the right to refuse your request for access to Personal Data. We try to respond to all legitimate requests within one month. Occasionally, it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

The rights you have in relation to the Personal Data we hold regarding you are:

  • the right to rectify any inaccuracies in the information we hold, though we may need to verify the accuracy of the new data you provide to us;
  • the right to erasure of information in specific circumstances, however, we might not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request;
  • the right to request transfer of your information to another controller; and
  • the right to object to processing in specified circumstances, however, in some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your right to object.

If you have provided us with consent to process your information, you always reserve the right to withdraw this consent via the method detailed in the paragraph below. We are committed to ensuring that your wishes are respected and upon notification that you wish to withdraw your consent, DOHS will immediately cease processing the information in question.
